1. Call to Order: Committee Chair Graziano called the meeting to order at 2:06 pm.
    1. Roll Call: Members Jenny Graziano, Janie Jerch, Board Secretary Allie Friedeman, and Interim Director David Seleb were present.
    2. Approval of Minutes from Aug. 1 and Aug. 29: Graziano moved and Jerch seconded a motion to approve each of the aforementioned minutes; all voted aye both times.
  2. Timeline for Director Search:
    1. We will write RFP for Director Search firm and post for a minimum of 2 weeks (Allie has one that we can tweak for this particular RFP).
    2. We will use social media to post our RFP on Oct. 2 or 3, directing people to our website (Jill can do this) thereby creating transparency for the hiring of a search firm. We will also send the RFP directly to the three search firms Grassi suggested.
    3. RFP’s will be due Oct 18, 2024 by 5 pm. to hr.lakeblufflibrary@gmail.com, and Jenny will send back a standard response saying the RFP was received and decision will be made by xxxx date.
    4. HR Committee will meet with Allie on Mon. Oct. 21, 2024 at 2 pm to choose the search firm.
    5. Target end date to have a new Library Director in place: no later than March 1, 2025.
  3. RFP Process: Seleb advised that
    • we have the search firm do as much of the work as possible,
    • we check our policy on how to consider RFP’s (Allie will check and also has the beginnings of a rubric),
    • we look at fees quoted, then pick 2 or 3 search firms to interview,
    • we communicate with each other through David to comply with OMA,
    • Jenny share all information with Janie and Allie on our Google Folder,
    • we request a ‘guarantee’ that any new director hired will stay for a specified length of time, and if that does not occur, the search firm will begin a new search, and finally,
    • we determine who the point of contact will be for communications with potential search firms, as well as the search firm we ultimately hire.
  4. Discuss Services the Executive Search Firm would perform: As stated above, as much as possible. Jerch moved to approve the process allowing an RFP to be posted and distributed to the three suggested search firms; Graziano seconded, all voted aye.
  5. Executive Session: There was none.
    1. Discussion of minutes of meetings lawfully closed under this Act, whether for purposes of approval by the body of the minutes or semi-annual review of the minutes as mandated by Section 2.06 and in compliance with the Open Meetings Act 5 ILCS 120/2 (c) (21)
    2. To discuss the appointment, compensation, discipline, performance or dismissal of specific employees of the public body in compliance with the Open Meetings Act 5 ILCS 120/2 (c) (1)

Respectfully submitted,

Janie Jerch
