- Call to Order: Committee Chair Graziano called the meeting to order at 2:03 pm.
- Roll Call: Members Jenny Graziano, Janie Jerch, Board Secretary Allie Friedeman, and Interim Director David Seleb were present.
- Approval of Minutes from Oct.21: Graziano moved and Jerch seconded a motion to approve the minutes; all voted aye.
- Review and Discuss Results of Director Search Firm Reference Calls: We had a robust discussion about the reference calls, all of which were glowing for both firms. The results of our comparison rubric showed a slightly higher score for one of the firms. Further discussion led us to choose Deiters & Todd to recommend to the Board of Trustees for the following reasons:
- The firm has more experience with a track record of Library Director placements, especially in small libraries like ours,
- The members of the firm have had experience as Library Directors themselves,
- They are only slightly more expensive than the other firm, and finally,
- Their rubric score, completed by committee members, was higher.
Jerch moved to recommend Deiters & Todd as our Executive Search Firm to the Board of Trustees at our Special Meeting on Oct. 29; Graziano seconded; all voted aye.
- Review and Update Request for Proposals Rubric: We discussed that “We need to know ourselves as an organization,” and that going through this process with Deiters & Todd will help us to gain that knowledge.
- Prepare Final Recommendation on a Search Firm for the Board of Trustees:
- Recommendation and Reasoning: See above.
- Next steps: Graziano will present our recommendation to the Board. Once the Board has voted to move forward with Deiters & Todd, Graziano will notify both of the last 2 firms of our choice. Our timeline for the Director Search will then begin on Nov. 1.
- Moving Forward: We realize that we must all be mindful of using proper procedures, including the possible use of remote participation in meetings, the Open Meetings Act, and having several closed sessions in both HR meetings and in Board meetings while pursuing our goal of hiring a new Library Director.
- Executive Session: There was none.
- Discussion of minutes of meetings lawfully closed under this Act, whether for purposes of approval by the body of the minutes or semi-annual review of the minutes as mandated by Section 2.06 and in compliance with the Open Meetings Act 5 ILCS 120/2 (c) (21)
- To discuss the appointment, compensation, discipline, performance or dismissal of specific employees of the public body in compliance with the Open Meetings Act 5 ILCS 120/2 (c) (1)
- Adjournment: Jerch moved to adjourn the meeting; Graziano seconded; all voted aye. Meeting adjourned at 3:03.
Respectfully submitted,
Janie Jerch
