1. Call to Order: Committee Chair Graziano called the meeting to order at 12:10 pm.
    1. Roll Call: Members Jenny Graziano, Janie Jerch, Molly Coyle, Jillian Chapman, Eliza Jarvi, and Interim Director David Seleb were present.
  2. Approval of Minutes from Nov. 18, 2024: Graziano moved and Jerch seconded a motion to approve the minutes; all voted aye.
  3. Discussion Topics:
    1. Proposal from HR Source to Review Library Personnel Handbook: We read and discussed the proposal. Jen will share Bill Hayes’ notes from his reading of our current manual for input. Jen moved to approve the HR Source proposal to review our personnel manual for $2,550. Janie seconded; all voted aye. David will contact HR Source and tell them to begin their review.
    2. Timeline and Process for Orientation of New Library Director: New Director starts March 10, 2025. The February 18th Board Meeting will have a formal vote to appoint our new director, then a formal announcement can be made. David can stay for up to the end of March. Either on site or on call, to help with the transition; the actual length of time will be up to the Board and the new Director. Janie will tell our director candidate when and how David is available and ask what they prefer. David will continue to be paid hourly for whatever time beyond March 10 he is working for the LB Library. Note that he found gaining access to our various financial institutions and accounts was very time-consuming when he came on, and recommended that he help at least with that.
As far as the rest of the onboarding process is concerned, David can help with all the necessary forms that will be needed. Staff members can help with setting up email, etc. We were advised to keep any information under wraps until after the official board approval on Feb. 18.
David and staff will set up a meet & greet session with various Village officials as well as David; a daytime meeting will be preferred to accommodate everyone’s workdays. A later reception to introduce the new director to the community will also be planned.
Jillian will make an announcement about our new director in our E-newsletter that will go up on March 1.
Deiters & Todd will be sending us their final invoice. We discussed that they also offer some programs on training sessions for Library Trustees; David will include that info in our Feb. meeting packet. Our director nominee will attend the February board meeting as an observer, and will run the March 18 meeting.
  4. Executive Session: There was none.
  5. Adjournment: Jerch moved to adjourn the meeting; Graziano seconded; all voted aye. Meeting adjourned at 12:33.

Respectfully submitted,

Janie Jerch
